Finance Administrator (Part Time)

Our agile team, based at our central HQ in Portsmouth are looking for a dedicated individual to lead our financial management processes, including budget management, invoicing and supporting payroll.

Key Responsibilities:

Budget Management

  • To collect receipts and invoices from colleagues and log them in our budget management system. Where necessary, you may need to set up and approve bank payments linked to invoices. Additionally, you will be responsible for the employee reimbursement process. At the end of each month, you will compile a Management Accounts report to present to the Managing Director.

Invoice Management

  • Compiling invoices for Unloc’s services and submitting to our clients and partners electronically. Additionally, you will need to manage the invoice pipeline, ensuring our clients and partners pay our invoices within the specified payment timeline.

Contract Management

  • Supporting the contract management process, which involves drawing up standardised contracts for our prospective clients and partners, before submitting for signature.

Payroll Management

  • To support the payroll management process for our small team of staff. Training and support will be provided.

Supporting Other Administrative Tasks (ad hoc)

  • Supporting the administrative tasks of others as and when needed. As a busy team, you will support colleagues when they need additional capacity.

Managing Office Resources

  • Ensuring the central office resources are well managed and presented, including managing orders of key equipment such as card, paper and folders.

Person Specification:

Qualifications

Essential: GCSE Maths and English at grade A*-C (or equivalent).

Essential: A-Levels at grade A*-C (or equivalent).

Desirable: Level 3 ICT qualification.

Experience and Knowledge

Essential: Some previous work in a finance administration/management capacity.

Essential: Some invoice/cash flow management experience.

Desirable: Previous knowledge of the education sector.

Abilities and Skills

Essential: High level writing skills.

Essential: High level money management skills.

Essential: Ability to prioritise and manage own workload.

Essential: Ability to manage a budget.

Essential: Ability to work as part of a team.

Essential: Ability to work independently.

Desirable: High level of skill when using Google Apps For Work.

Other

Essential: Willingness to undertake staff training and development as required.

Desirable: Car driver with a clean UK driving licence.
